President’s club FAQ:


REGISTRATION:

Q: What do I need to do first?

A: You will receive a congratulatory email from Dennis Kozak, followed by an invitation from ivanti@rnepartners.com (our Event partner for Club) with the program details, plus the link to register for the trip.  (Please check My Apps > Email Quarantine or contact corporate.events@ivanti.com if you did not receive the email). Please be sure to register with your Ivanti company email in which you received the invite email: first.last@ivanti.com

IMPORTANT: PRE AND POST TRIP EXTENSIONS ARE PERMITTED DURING REGISTRATION BASED ON AVAILABILITY AND ADDITIONAL COSTS ARE THE RESPONSIBILITY OF THE IVANTI WINNER. MODIFYING YOUR TRAVEL DATES INSIDE OF THE EVENT DATES (FEB 23-28, 2024) WILL NOT BE PERMITTED. IVANTI WILL INCUR ADDITIONAL EXPENSES AND IMPACTS TO THEIR CONTRACTUAL COMMITMENTS WITH SUPPLIERS


Q: What is the deadline to register?

A: You Must register by January 22, so we can ensure all your travel arrangements are lined up to make this an amazing experience for you and your adult guest.  


Q: WHAT HAPPENS AFTER I REGISTER?

A: Your registration details will be forwarded to our air travel agency – Cain Travel. If you are traveling during the program dates, Cain Travel will contact you VIA EMAIL, within 3 days of receiving your registration form WITH a proposed travel itinerary. You MUST approve the itinerary within 24 hrs by responding to the email. Cain Travel will THEN ticket your reservation and send you aN email confirmation.

PLEASE NOTE: IF YOU REQUEST AN EXTENSION TO THE CLUB PROGRAM, THERE WILL BE A SLIGHT DELAY DEPENDING ON THE COMPLEXITY OF YOUR REQUEST. Additionally, Please be aware of the hotel's 21-day cancellation policy for all pre/post extensions. Incase of cancellation, you must cancel 21 days before your arrival or you will be responsible for all additional nights.

Q: IS AIRFARE INCLUDED?

A: YES! AIRFARE IS INCLUDED FOR YOU AND YOUR 18+ GUEST.

PLEASE NOTE: IF YOUR JOURNEY IS LONGER THAN 9 CONSECUTIVE HOURS OF FLYING TIME, YOU WILL BE ALLOWED TO BOOK ECONOMY PLUS OR EQUIVALENT ON THAT LEG OF TRAVEL ONLY. IF DECIDING TO BOOK BUSINESS, FIRST CLASS, OR EQUIVALENT, YOU MUST PAY THE UPGRADE DIFFERENCE USING YOUR PERSONAL CREDIT CARD.

FLIGHTS WILL BE ARRANGED by CAIN TRAVEL. YOU WILL BE CONTACTED VIA EMAIL BY CAIN TRAVEL WITHIN 3 Business DAYS OF SUBMITTING YOUR REGISTRATION. IF YOU ARE TRAVELING ON PROGRAM DATES (FEB 23-28) AND DO NOT HEAR FROM CAIN TRAVEL IN A TIMELY FASHION, PLEASE CONTACT: CORPORATE.EVENTS@IVANTI.COM FOR FURTHER ASSISTANCE. EXPECT A LONGER RESPONSE TIME IF YOU ARE REQUESTING A PRE OR POST TRIP EXTENSION

ALL CLUB FLIGHTS MUST BE BOOKED VIA CAIN TRAVEL. DO NOT BOOK ON YOUR OWN OR THROUGH YOUR LOCAL IVANTI TRAVEL AGENCY.


Q: WHAT IF I DON’T WANT TO OR CAN’T ATTEND THE EVENT? CAN I GET A CASH EQUIVALENT INSTEAD?

A: UNFORTUNATELY, THERE IS NO CASH EQUIVALENTS IN LIEU OF THE INCENTIVE TRIP IN ANY CIRCUMSTANCE.


Q: CAN I BRING MY CHILDREN WITH ME ON THIS TRIP? 

A: PRESIDENT’S CLUB IS LIMITED TO THE IVANTI CLUB WINNER AND ONE ADULT GUEST OF 18 YEARS OR OLDER AND IS CONSIDERED A WORK EVENT. ALL TRAVEL, MEALS, FUNCTIONS AND ACTIVITIES ARE ARRANGED FOR THE CLUB WINNER AND THE ONE GUEST ONLY. THEREFORE, IVANTI WILL ONLY PAY FOR EXPENSES DIRECTLY RELATED TO THE PRESIDENT’S CLUB FOR YOU AND YOUR ADULT GUEST. 

IT IS YOUR PERSONAL DECISION TO HAVE YOUR CHILDREN ACCOMPANY YOU ON THIS TRIP BEYOND YOUR ONE (1) ADULT GUEST INCLUDED IN YOUR PRESIDENT’S CLUB INVITATION — EXTRA GUESTS BEYOND THIS WILL BE YOUR OWN PERSONAL EXPENSE AND BASED ON AIR AND HOTEL AVAILABILITY, AND NOT INCLUDED IN CLUB’S CONTRACTUAL OBLIGATIONS.(I.E. Agency air fees, ADDITIONAL ROOM FEES, BEDDING TYPE, MEALS, ACTIVITIES, AND AIRFARE). 

PLEASE NOTE:  CAIN TRAVEL WILL PROVIDE ASSISTANCE TO BOOK YOUR CHILDREN’S FLIGHTS. A PERSONAL CREDIT CARD WILL NEED TO BE PROVIDED AT THE TIME OF BOOKING. ALL LAND-RELATED ACTIVITIES AND MEALS NEED TO BE ARRANGED WITH THE HOTEL CONCIERGE.


Q: CAN I ARRIVE EARLY AND/OR EXTEND MY STAY?

A: YES. IF YOU WOULD LIKE TO EXTEND YOUR STAY, PLEASE INDICATE YOUR EXTENSION REQUEST DURING ONLINE REGISTRATION. YOU WILL THEN BE CONTACTED BY A RNE TEAM MEMBER TO REVIEW AVAILABILITY AND SDDITIONAL COSTS. REMINDER — THE COST OF ANY ADDITIONAL DAYS IS YOUR PERSONAL RESPONSIBILITY. YOU WILL NEED TO CONFIRM THE ARRANGEMENTS AND PROVIDE A CREDIT CARD FOR PAYMENT.

NOTE: THE DISCOUNTED GROUP RATES ARE OFFERED 3 DAYS POST AND PRE EVENT DAYS AND ARE BASED ON HOTEL AVAILABILITY.


Q: CAN I ARRIVE LATE OR LEAVE EARLY?

A: MODIFYING THE PROGRAM DATES IS NOT PERMITTED. WE ASK THAT IF YOU CANNOT ATTEND THE FULL PROGRAM, YOU DECLINE THE INVITATION TO ATTEND.


Q: What should I expect when traveling to Maui?

A:
All EMEA flights will be traveling through the USA. All European travelers should expect to connect somewhere in the continental USA to Maui.


Q: Do I need a passport and/or travel visa?

A:
all Non-USA citizens will require a passport with a 6-month validity from your scheduled USA departure date. ADDITIONALLY, Please check here for Usa visa requirements.

Q: What if I need medical assistance during this trip?

A: As an Ivanti employee traveling for a work function, you are covered by our Business Travel Accident (BTA) Insurance Plan and Travel Assistance Services through AIG. Any travel insurance that you decide to purchase for your guest is at your discretion and at your personal expense.


Q: Does the President’s Club trip have any tax implications for me?

A: Yes – there might be tax implications related to expenses associated with your guest.

As an Ivanti Employee, your expenses (employee airfare, hotel, meals, etc.) are not taxable because President’s Club is classed as a work function. However, the expenses associated with your guest (e.g. guest airfare, meals, activities, transportation) are considered taxable income and are subject to your local tax laws. Ivanti will temporarily increase your gross pay to account for the incremental tax burden on you. You will see this reflected in your paycheck (or checks) after the event depending on the pay schedule in your country.
